Lock & Delete a Team Member

You will want to lock out and then delete a team member if they leave the company.

Lock Out

It is important to lock people out of ShareBuilder CRM if you separate from them (or they from you!). As this is a web-based system, without them being locked out, they have access to a master account list, some financial information, etc. 

Lockout Team Member Instructions

  1. Visit the Our Team page from the left navigation bar. 

  2. Choose the team member you wish to lock out.

  3. Select the Administration tab.

  4. Click the slider that says, "Lockout User?"

  5. Fill in a reason and Save at the top!

Once a team member is locked out, their name will have a red lock on your Our Team page. Also, on that page, you can see how many accounts they have. You can then move their active accounts to viable AEs. Once you do that, you can move the remainder to House.

You will not lose historical financial information by doing this as the financial information follows the account.

You should be aware that moving accounts can impact your report card, artificially inflating an AE’s Report Card/Pending numbers with the moved data. This is why some choose to do this on the first of the month.  However, no financial information will be negatively affected at any time during the month. Remember, the history of the account goes with the account.

Delete A Team Member

Once a team member is locked out, all viable accounts are moved, and you know the remainder can be moved to House. You can do this easily while deleting the team member.

Delete A Team Member Instructions

  1. Visit the Our Team page from the left navigation bar. 

  2. Choose the user you wish to lock out.

  3. Select the Administration tab.

  4. At the bottom of the page, turn on the slider(s) on the left side. This will move all accounts held by that AE to House and if they have any private contacts, it will make them public. 

  5. When those sliders are turned on, you'll see a new button appear. Click Delete Team Member.

Once you do this the team member will not show up in your lists, but you will continue to have access to any history they generated.
