This article provides guidance on customizing the Connected Mailbox feature in ShareBuilder CRM, including managing ignored email addresses and domains, as well as selecting which email folders to synchronize.
Why
Tailoring your Connected Mailbox settings ensures that only relevant communications are logged into the CRM, enhancing data accuracy and preventing clutter from unnecessary emails or contacts.
How
Ignore Email Addresses and Entire Domains
- Locate the Ignored Addresses section toward the bottom of the page. From there you can view your existing ignored email and domain names.
- To add an ignored address, select the "Add Ignored Address" button to the right of the "Ignored Addresses" section.
- In the popup you can add an ignored address or domain name to ignore all emails and calendar invites that only contain this address.
- Add "bill@lawfirm.com" to ignore all emails and calendar invites from that email address.
- Add "lawfirm.com" to ignore all emails and calendar invites from anyone with that domain name in their email address.
Note: Emails that contain contacts in CRM and ignored addresses will still create the activity and skip over any ignored addresses.
Customizing Mailbox Folder Synchronization

Locate the Synced Folders Section:
- In the Connected Mailbox tab, find the Synced Folders section.

Manage Folder Settings:
- Enabled Folders: Folders with a blue checkmark are currently synchronized with ShareBuilder CRM.
- Disabled Folders: Folders with an empty checkbox can be enabled by clicking the checkbox, allowing new mail in these folders to sync with the CRM.
- Unavailable Folders: Folders with a greyed-out checkbox (e.g., Drafts, Outbox, Spam) are disabled by default and cannot be enabled for synchronization.
You can manage which email folders from your mailbox are synchronized with ShareBuilder CRM.
