Approve, Challenge, or Share an Account
What
This guide covers account management processes in ShareBuilder CRM, including reviewing and approving Seller account requests, challenging non-billing accounts, and enabling account sharing for collaboration.
Why
Effective account management ensures fair distribution, prevents conflicts, and supports seamless sales operations. Reviewing requests, approving challenges, and sharing accounts help maintain accurate assignments, streamline teamwork, and ensure all relevant team members have access to necessary client data.
How
Here is How to Approve an Account:

Accessing Account Requests:
- On your home page, locate the NEXT STEPS section in the upper right corner.
- If accounts are pending your approval, they will be listed here. Click on the relevant notification to proceed.

Applying Filters (Optional):
- To refine the list of account requests, open the filter options.
- You can filter requests by specific Sellers or by request type:
- ONLY Those Ready for Me to Approve: Displays account requests awaiting your approval.
- ALL Account Requests: Shows all account requests, regardless of their status.

Reviewing Account Requests:
- Account: In this column, you can edit the account name directly in the text box. Below the account name, there's a link to View Account, which opens the Account Summary in a popup for more details.
- Seller: Click on the Seller's or manager's name to send them an email if needed.
- Added: This column displays the date and time the Seller added the account, helping you determine who added an account first.
- Status: Indicates the current status of the request:
- Requested: A new account added to the system.
- Challenged: A Seller is requesting an account that is already on someone else's list.
- Account Category: Shows the current category of the account being requested.
- Seller Entered: If the Seller hasn't provided the contact's name, email, or location, you can click on the "N" to send a pre-filled email prompting them to add this information.

Taking Action on Requests:
- No Response: If you choose to take no action at this time, the account request will remain in the list for future review.
- Approve: Click this button to approve the Seller's request for the account.
- Cancel: To cancel the account request, select the Cancel button and then click "Email the req Seller" to send a pre-filled email notifying them of the cancellation.
- Transfer: If you decide to transfer the account to another Seller, select the Transfer button and choose the appropriate Seller from the list.

Saving Your Decisions:
- After making your selections, click the Save button at the bottom of the page to confirm and apply your responses.

Mass Sign-Off (Optional):
- To approve or manage multiple account requests simultaneously:
- Select the status of the pending requests (e.g., Pending Approval or In Challenge).
- Click the Mass Sign Off by Request Status (This Page Only) button in the Mass Sign Off section.
- Note: This function applies to one page of requests at a time. Once you have signed off on an account, an automatic email is generated to notify the requesting Seller of your response.

Here is How to Challenge an Account:
- Click Companies → Accounts
- Click "All Filters" → Owner = All → Account Category = Open (something you can challenge) → Apply
- Use the keyword search to find the account by typing the first few letters of the name. Click on the account name to open up the Account's details. Click "Challenge this Company".
- Assign the account to an account category. Add any additional contact or agency details if available. Scroll to the bottom and click "Add Account". Make sure you have room to add a prospect to one of your protected non-billing account categories!
- A success message will confirm your request has been sent to your manager. While waiting for approval, you can add pending and activities to the account.
Here is How to Share an Account:

Enabling Account Sharing:
- Account Sharing is disabled by default. To enable this feature, contact the ShareBuilder CRM support team via the chat function and request activation.
- Sharing an Account:
- Once enabled, navigate to the Account Summary of the account you wish to share.
- Locate the Shared Account section below the Seller list.
- If this section is not visible, the Account Sharing feature may not be activated.

Understanding Financial Implications:
- All billing should be assigned to the appropriate representative in the traffic system to ensure accurate reflection in each Seller's budget.
- In the Account Summary and Account Billing pages, both the account owner and the shared Seller can view billing information.
- In other areas of ShareBuilder CRM, billing is displayed based on ownership:
- By Account List: Shows billing only for the Seller who owns the account to prevent duplication.
- By Seller Actuals: Accessible on the Billing Summary page and report, this view displays billing for each Seller, regardless of account ownership or sharing status.
- For accurate budget tracking, it is recommended to use the Seller Actuals view; otherwise, shared account dollars may not be reflected.
- If the shared Seller (not owning the account) books billing, a discrepancy will not appear by design, as they are collaborating as a team.
