The Contacts module is the centralized hub for managing every individual entered into ShareBuilder CRM. It connects people to their associated Accounts, Leads, or Agencies, ensuring that communication, activity tracking, and historical records remain organized and accessible.
Key components:
Contact List: Displays all CRM contacts with customizable columns such as name, company, email, phone, and last activity date. Filters allow managers to view contacts by type, seller, or deleted status.
Contact Types:
Lead Contact: Linked to prospecting and new opportunities.
Account Contact: Connected to an established Account.
Agency Contact: Tied to an Agency relationship.
Unknown Contacts: A holding space for unmapped contacts pulled from connected mailboxes or Assistant. Managers can ensure these are quickly mapped to the right Account, Lead, or Agency.
Export Tools: Managers can export contact data by Seller or across teams for reviews and reporting.
For managers, contacts represent more than just a database - they are the foundation of sales relationships.
Visibility Across the Team: Shared contacts prevent silos and ensure smooth handoffs when sellers change roles.
Accuracy & Accountability: Up-to-date contacts enable reliable communication tracking and informed coaching conversations.
Continuity for Clients: Even when sellers move on, organizations retain institutional knowledge and client relationships.
Strategic Coaching: Reviewing contact lists by seller helps managers spot gaps (e.g., missing decision-makers) and coach toward stronger engagement strategies.
Philosophical Alignment: Contacts embody ShareBuilders’ belief that sales is fundamentally about people, not just data.
Contacts provide managers with visibility into the human side of sales pipelines, ensuring no decision-maker is lost and every relationship has a steward.
Managers can use the Contacts module to strengthen team performance and preserve client relationships:
Monitor Team Contact Lists
Use filters to review seller-specific contact lists. Ensure decision-makers and influencers are correctly captured for each Account or Agency.
Resolve Unknown Contacts
Regularly check Unknown Contacts to ensure new records from mailboxes are mapped promptly to the right company. This preserves communication history and avoids missed opportunities.
Export for Oversight
Export contact lists by seller or team for audits, coaching sessions, or cross-checking against financial reports.
Coach on Contact Quality
Encourage sellers to maintain complete and accurate records (titles, emails, phone numbers). Use one-on-ones to highlight missing or outdated information.
Preserve Institutional Knowledge
Reinforce to the team that contacts are a shared resource, not owned individually. This ensures smooth continuity when accounts or roles shift.
