The Connected Mailbox feature links your email account directly to ShareBuilder CRM. Once connected, your Inbox and Sent Items are automatically synced to relevant Contacts, Accounts, and Activities. The system then captures your email communications automatically — no more manual forwarding or BCC’ing.

Here is what to know about Connected Mailbox before you start and the steps to set up the Connected Mailbox:
Your market or ownership group must have Connected Mailbox enabled.
If you have a manager role and your market doesn’t yet have it, you’ll see a “Connected Mailbox Signup” option in your chat bubble. Submit the form — we’ll review and follow up.
Log into ShareBuilder CRM.
Click your initials in the top‑right corner → choose Edit Profile.
Select the Connected Mailbox tab.
Click the Microsoft Office icon to initiate the connection. (Gmail integration coming soon!)
Sign in with your email credentials when prompted.
Choose which folders to sync — Inbox and Sent Items are required.
Click Start Syncing.
The system will load the last 90 days of email activity.
For emails from senders not already in CRM, they’ll show up under Unknown Contacts. From there you can:
Add the sender to CRM (link to contact/account)
Ignore or “Ignore All Selected” if irrelevant
Confirm any ignored contacts via the confirmation dialog.
